Wedding vendor meals: who to feed and what to budget

Build an accurate vendor-meal headcount, calculate mandatory fees and confirm meal timing, location and dietary needs before the final catering guarantee.

The contract decides who needs a meal

There is no universal vendor-meal list or price. Start with every contract, then count the people—not only the companies—who will be working through the meal period. A photography team may include a lead, second shooter and assistant; a band may include several performers and production staff.

Public venue policies show how much the treatment varies. Miller’s Landing says eight vendor meals are already included in its catering package. La Navona publishes a separate vendor-meal price and excludes its included DJ from that headcount. Cheyenne Mountain Resort publishes a per-vendor “++” price and requires those meals in the final count.

Build the count person by person

Create one row for every vendor team and ask its lead for the final crew count. Record arrival and departure times so you can see who is onsite across lunch or dinner. Confirm whether the venue, caterer or planner also requires meals for its own team.

  • Planner, coordinator and assistants
  • Photographer, second shooter and photo assistant
  • Videographer, second camera operator and audio assistant
  • DJ, MC, band members and production crew
  • Florist, rental or décor crew staying through the meal period
  • Transportation, security, childcare or other long-shift staff

Add the percentages before setting the budget

The Hotel Hershey publishes vendor meals from $28.50 to $45, plus 6% tax and 23% gratuity. Using the top of that published range, seven $45 meals create a $315 base. Adding 23% produces $387.45, and applying 6% to that combined amount produces an illustrative $410.70 total, or $58.67 per meal.

That calculation applies one venue’s published figures to a sample headcount. It is not a national average and does not predict another venue’s tax treatment. Use the percentages and taxable subtotal written in your proposal.

$410.70 for seven meals

7 × $45, then 23% gratuity and 6% tax on the combined amount; confirm the venue’s actual calculation.

Confirm service, timing and location

A meal only helps the timeline if vendors can receive and eat it during a workable break. Ask when vendor meals are served, where the team eats, how long service normally takes and whether the planner can coordinate the break without missing speeches or key photos.

  • Same meal as guests, a reduced vendor meal or a boxed option
  • Dietary and allergy accommodations
  • Meal delivery time relative to guest dinner
  • Private place to sit, water access and cleanup
  • Whether the meal counts toward a minimum or guaranteed headcount
  • Final deadline for adding or reducing vendor meals

Ask before the final guarantee

Send each vendor the venue’s meal policy and request a confirmed crew count before the catering deadline. Then reconcile that count with meals already bundled into the package. Mark any unanswered team size or price as unknown rather than zero.

Public prices and policies below were checked on September 23, 2026. They are dated examples, and couples should confirm the current price and terms directly.

Questions about vendor meal cost guide

Which wedding vendors need meals?

Check each contract and count every person working through the meal period, including assistants and second shooters. Then confirm whether the venue package already includes meals for any vendor or venue staff.

How much do wedding vendor meals cost?

There is no universal price. Public venue policies show flat prices, bundled meals and plus-plus pricing. Use the venue or caterer’s current price, mandatory percentages and tax treatment rather than a national average.

Do vendor meals count toward the catering minimum?

They may, but the contract controls. Ask whether vendor meals count toward the food-and-beverage minimum and whether they must be included in the final guaranteed headcount.
