Ask for the expected out-of-pocket total
Request an itemized estimate using your date, guest count, menu level and event hours. A helpful answer shows each mandatory charge, percentage, tax basis and refundable amount.
- What is included in the room or site fee?
- What food-and-beverage minimum applies to this exact date and room?
- Which service charges, gratuities and taxes apply?
- Which deposits are refundable, transferable or non-refundable retainers?
- What costs are still unknown or selected later?
Test the operating rules
A beautiful property can become a poor fit when its timeline, sound or vendor restrictions conflict with the wedding plan. Ask for the rules before paying a retainer.
- When can each vendor load in, set up and strike?
- What are the indoor and outdoor music cutoffs?
- Must we use in-house or preferred vendors?
- Are outside food, alcohol, food trucks or specialty rentals allowed?
- What power, kitchen, loading and storage access exists?
Walk through the guest experience
Use your realistic seated guest count, not the venue’s standing maximum. Trace the full day from arrival through the final departure.
- How many guests fit seated with the desired dance floor and band or DJ?
- Where do ceremony, cocktails, dinner and dancing happen?
- Is the rain plan private, furnished and large enough?
- How many accessible restrooms and parking spaces are nearby?
- Are getting-ready rooms private and available for the required hours?
Read the cancellation and change clauses
Confirm payment dates, late fees, cancellation damages, force-majeure language and what happens if the venue cannot perform. Ask whether money can transfer to a new date and which deadline changes the refund. Save every written clarification with the final contract.
